Tip of the Week: Best Practices for Sharing Your Screen

Just about any collaboration platform these days will allow you to share your screen. The functionality works largely the same, regardless of whether you’re using Google Meet, Microsoft Teams, Zoom, or something else, but we want to cover how to use it on these popular platforms. We’ll assume you’ve already joined a meeting for this article, so let’s get started sharing your screen.

Share Your Screen in Google Meet

You’re looking for the Present now option, which you’ll find at the bottom-right of your screen. When you click it, you’ll have three options:

  1. Sharing your entire screen
  2. Sharing a window
  3. Sharing a tab (recommended when you are sharing videos and other animations)

Select the one you need, then click Share to start streaming. Once you’re done, click Stop sharing.

We recommend you stick to sharing a second screen to ensure you don’t accidentally share private information from other applications or tabs. If you’re sharing a video, you’ll also have to mute your microphone to prevent any echo.

Share Your Screen in Microsoft Teams

From the top of your screen, look for the Share icon. Click it to share with one of three options:

  1. Sharing your entire screen
  2. Sharing a window
  3. Sharing a PowerPoint presentation

When you’re done, click on the Stop sharing option.

A presentation also gives you the Present Live option, which gives your audience the chance to view your presentation in a personalized way. They can go back to past slides or focus on a second screen while you present during the meeting.

Share Your Screen in Zoom

In Zoom’s toolbar, you’ll see the option for Share Screen, among other options:

  1. Sharing your entire screen
  2. Sharing a specific window
  3. Sharing a collaborative Whiteboard

Once you’ve selected your preferred option, you can click Share to start streaming and finish by clicking Stop Share.

Sharing video is also easy; just make sure you have checked Share computer sound and Optimize for video clip to make sure the video playback is clear.

There you have it! Three ways to share using some of technology’s biggest names.
